Join our team in the College of Arts & Sciences! We are welcoming applications for a Director of Operations. In this role, you will work with the Associate Dean for Student Success as a strategic partner, supporting a portfolio that includes the Academic Advising Center (AAC), Student Recruitment, RAP Executive Director, Honors Director, and the Assistant Dean of Curricular Affairs. This position is responsible for keeping the Associate Dean informed and up to date regarding these critical areas. In addition, responsibilities of this position include directing the Center for First-year Students, the AAC Resource Center and the Assistant Dean’s Office.

This position directs all budget and financial activities, including budget planning and oversight, preparing and reviewing budget reports, analyzing future budget demands, and consulting with Associate Deans and Directors about future budget expenditures. This role coordinates and optimizes processes within the Student Success portfolio, including processing of forms and petitions handled by the AAC, and ensures the smooth operation of other processes, such as assisting with space allocation, change management, and planning activities.

This individual guides Human Resource related functions including assisting with recruiting processes and transactions, annual AAC personnel evaluation processes, leave and compensatory time requests and accrual, and employee records and transactions. This position is ultimately responsible for ensuring all employees in the AAC adhere to accurate time and leave reporting as well as purchase processes.

We are looking for a self-starter, who is able to problem solve and break down complex issues for others' understanding. Collaborative and professional partnerships and communication with all staff and direct reports is critical.

What Your Key Responsibilities Will Be

Financial Management

  • Responsible for the overall administration and management of the accounting and budgeting functions for all accounts and provides oversight of financial activities.
  • Prepare and review budget reports, transfers, and transactions. Assist with budget request preparation.
  • Lead all aspects of expenditures, analyze future budgetary demands and potential cost savings, and consult with the Director about budgetary planning that will facilitate achievement of each department’s mission.
  • Coordinate the department’s budget and spending and provide financial analysis to leadership.
  • Serve as the liaison to the college and campus budget offices and coordinate processes and procedures.

Personnel Management

  • Manage and guide leadership regarding personnel and search process transactions- including coordinating the authorization, search logistics, and offer process (in collaboration with A&S HR, Campus HR, and AAC Administration).
  • Maintain all personnel records and work with various HR systems.
  • Lead the completion of personnel evaluations for university staff and classified staff.
  • Manage, oversee and monitor the reporting process of all leave, vacation, compensatory time and overtime.
  • Ensure the timely completion of all payroll issues (concurrent appointments, split appointments, overload payments, etc.).

Supervision

  • Oversee AAC Business Services and Operations.
  • Provide day-to-day operations management of staff to include staffing, workload initiatives and priorities. Analyze and optimize capacity.
  • Position is responsible for hiring staff, compensation, termination, and performance management of subordinate employees.
  • Assist the AAC leadership team, staff and administrators in regard to personnel policies and procedures, payroll issues, search processes and policies, appointment processes, and expenditures.
  • Collaborate to streamline and redefine processes to improve operations in the portfolio of units.
  • Develop strategies and processes which contribute to the University and/or college mission.
  • Implement and lead improvements to current practices.

Business Advisor

  • Advise and counsel the Associate Dean regarding:
    • Oversight of the general budget pool, including temporary funds and professional development monies, for the Associate Dean’s entire portfolio.
    • Personnel matters, financial matters, and policies governing appropriate/inappropriate expenditures.
    • Operations processes and the development of a strategic plan for Undergraduate Education and all areas within the portfolio.
  • This position acts as an influencer in certain circumstances to ensure areas within the portfolio are adhering to all necessary policies, procedures, rules or statutes.

What We Can Offer

The Starting Salary is $70,000, commensurate with skills and experience.

What We Require

  • A bachelor’s degree from an accredited college or university in accounting, finance, management, business or a related field.
  • 5+ years of relevant experience managing finances and personnel.
    • OR an equivalent combination of education and experience may substitute for the required degree on a year-for-year basis.

What We Would Like You To Have

  • Knowledge of CU management systems and experience working within the regulatory framework of higher education.
  • A demonstrable knowledge of employment and HR related concepts.
  • Knowledge of state personnel and financial policies and of the university’s financial and human resource systems.
  • Excellent computer skills, including utilization of various programs to perform complicated financial analysis and financial reporting.
  • Ability to schedule in multiple calendaring software.
